Manage Employees

If you identify errors on your Census Report while preparing your tax return files, you can edit individual employee details using the Manage Employee module. This can save you from having to upload an entirely new batch just to make a few small changes.



Using the Manage Employees module, you can review and edit an employee’s name, address, and Social Security number. You can also review the employee’s work and coverage history throughout the year.


The Employee Profile Editor should ONLY be used to correct errors on your Census Report, prior to generating your 1095-C forms. 

  • If you have not yet run your final Actual Batch, any changes you make via the Employee Profile Editor will be overwritten when you upload your Actual Batch.
  • If you have already generated your 1095-C forms, it is too late to edit the employee information via the Employee Profile Editor. You will need to reject your 1095-C batch, make the updateds to your employee datafile, and re-upload the data as a new Actual Batch.


Employee List

The Manage Employees module provides a list of each employee reported on your Employee Datasheet. Note: If you have not yet uploaded an employee datasheet, there will be no employees listed.



The Employee list includes:

  • The employee’s first and last name
  • The employee’s address
  • The division the employee works for.


For additional information on a specific employee, or to edit any of the information on this list, select the appropriate employee’s last name.


Edit Employee Information

If you need to make changes to an employee’s information (for instance, if you need to update their address prior to mailing their 1095-C form), locate the employee’s name on the Manage Employees list and select their last name.


On the Employee Profile Editor page, you can make corrections to their name, SSN, or address.



To make changes, select “Edit” and make any necessary changes. Once you have finished, click “Save and Exit.”


Note: The changes you make here only effect the active data file. If you upload a new datafile, it will overwrite the changes you made. If you have already generated your 1095-C forms, edits made here will not change your 1095-C forms.


Employee Profile Report

You can also review additional information about each employee by clicking the “View Employee Profile Report” button.



The Employee Profile Report contains:

  • The employee’s name, address, and SSN.
  • Detailed Employment and Medical Benefits history.
  • A list of any dependents
  • Monthly responses for lines 14 – 16 on the employee’s 1095-C form.



This information is compiled from your Employee Datasheet. If you identify any errors, you should correct those on your Employee Datasheet and re-upload the data file, prior to submitting your 1095-C forms for processing and mailing.
